Privacy Policy

VoxPerch provides an AI receptionist that answers phone calls for businesses. This policy explains what information we handle, why, and the choices you have. It covers our websites (voxperch.com and its subdomains), the client dashboard, and the calls our receptionist answers for our business clients.
Who this applies to
- Business clients: the businesses that use VoxPerch, and the staff who sign in to their dashboard.
- Callers: people who phone a business that uses VoxPerch. For their calls we act on behalf of that business, which decides how the information is used. Questions about a specific business's use of your information are best sent to that business.
Information we collect
- Account information: name and email address of people who sign in, and the business details a client enters (business name, hours, services, staff contacts, and the knowledge the receptionist uses).
- Call information: the phone number that called and the number dialed, call time and length, a recording and transcript of the call, a summary, and any details a caller gives (such as their name, callback number and reason for calling).
- Documents and messages a client provides to build their receptionist's knowledge, such as price lists or FAQs.
- Billing information: handled by our payment processor, Stripe. We do not store card numbers.
- Technical information: basic logs (such as IP address, browser and error reports) used to keep the service running and secure.
Google sign-in
If you sign in with Google, we receive only your name, email address and profile picture, and use them only to sign you in to your account. We do not access your Gmail, contacts, calendar or files. We do not sell Google user data, use it for advertising, or share it with anyone except as needed to run the sign-in. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
How we use information
- To answer calls for our clients: understand the caller, answer from the business's approved knowledge, take messages, and transfer calls when the business has set that up.
- To deliver messages and leads to the destinations a client chooses (for example their CRM or email).
- To show clients their call logs, recordings and reports, and to bill them.
- To keep the service reliable and secure, and to improve call quality for that client.
We do not sell personal information, and we do not use callers' information for advertising.
Service providers we use
We share information only with providers that help us run the service, under their own security and privacy terms:
- Cloudflare (hosting and storage)
- Retell AI (phone calls, speech recognition and voice)
- Anthropic (AI processing of documents and conversations)
- Resend (sign-in and notification emails)
- Stripe (payments)
- Google (optional sign-in)
- For clients who use our voicemail add-on: ElevenLabs (voice generation) and Slybroadcast (voicemail delivery)
We may also disclose information if required by law, or to protect the rights and safety of our users and the public.
How long we keep information
Call transcripts and recordings are kept for the retention period each business client sets, then deleted. Account information is kept while the account is active and deleted when an account is closed, except where we must keep records for legal or billing reasons.
Security
Information is encrypted in transit, access is limited to people who need it, and each business's data is kept separate from every other business's. No system is perfectly secure, but we work to protect your information and will notify affected clients of a breach as the law requires.
Health information
VoxPerch is not designed to collect medical records. Businesses in health care are configured so lead notifications by email contain a link to the call rather than what was said. Please do not share detailed medical information with the receptionist.
Your choices
- Callers can ask the receptionist not to be contacted again, and the business will be told.
- You can ask us to access, correct or delete your information by emailing privacy@voxperch.com. If your information was collected for one of our business clients, we may pass your request to that business.
Children
VoxPerch is not directed to children under 13, and we do not knowingly collect their information.
Changes
We may update this policy. The date at the top shows when it last changed, and significant changes will be announced to clients.
